Young Professionals of Johnson City (“YPJC,” “we,” “us,” or “our”) respects your privacy and is committed to protecting the personal information you share with us. YPJC is a nonprofit program of the Chamber of Commerce serving Johnson City, Jonesborough, and Washington County, Tennessee (“the Chamber”).

This Privacy Policy explains what information we collect through the YPJC website, membership portal, membership and event registration, communications, and related services; how we use and share that information; and the choices available to you.

By using the YPJC website, creating an account, becoming a member, or otherwise providing information to YPJC, you acknowledge the practices described in this Privacy Policy.

1. Information We Collect

We collect information that you voluntarily provide when you create an account, apply for or maintain a YPJC membership, register for an event, communicate with us, or otherwise use our services.

Depending on how you interact with YPJC, this information may include:

• Name
• Email address
• Phone number
• Mailing address
• Date of birth or age
• Employer, job title, industry, and other professional information
• Profile information you choose to provide
• Membership status and membership history
• Event registrations and participation
• Volunteer, committee, leadership, and program interests
• Communications, inquiries, survey responses, and other information you choose to provide
• Billing and transaction information associated with membership dues, event registrations, or other purchases

We may also automatically collect certain technical information when you use our website, such as your IP address, browser and device information, pages visited, referring pages, interactions with the website, and similar technical information.

2. Membership Accounts and Profiles

YPJC members may create or receive access to an online membership account. Information associated with your membership and account is maintained through our website and the systems and service providers we use to administer YPJC membership.

Certain account information is used internally to administer your membership and provide member services. Access to nonpublic personal information is limited to authorized individuals and service providers who need the information for legitimate organizational purposes.

3. Public Member Directory

YPJC maintains a public member directory to recognize and connect our membership with the broader community.

The public directory may display a member’s name. Personal contact information, including email addresses, phone numbers, mailing addresses, and payment information, will not be displayed in the public directory.

If additional profile information is made available publicly in the future, members will be informed of what information will be displayed and provided appropriate choices regarding that information.

4. Member-to-Member Communications

Registered YPJC members may have access to private communication features that allow members to communicate directly with one another through the membership portal.

These features are not available to the general public and are intended to provide members with a way to connect without YPJC publicly disclosing their personal contact information.

YPJC does not provide members with another member’s private email address, phone number, or other nonpublic contact information through the public directory. Members may choose to share their own contact or personal information directly with other members.

Information you voluntarily disclose to another member may be retained or shared by that individual. Members should use appropriate judgment when sharing personal information with others.

5. How We Use Your Information

We may use personal information to:

• Create, maintain, and administer your YPJC membership and online account
• Verify membership eligibility
• Process membership dues, registrations, and other transactions
• Provide access to member-only website features
• Communicate with you about your membership
• Send information about YPJC events, programs, volunteer opportunities, leadership opportunities, and other activities
• Register you for and administer events and programs
• Respond to questions, requests, and communications
• Understand membership demographics, interests, participation, and engagement
• Analyze use and performance of our website
• Improve YPJC programs, events, communications, website functionality, and member services
• Maintain organizational, membership, and financial records
• Detect and prevent fraud, spam, misuse, unauthorized access, and security incidents
• Comply with applicable legal, financial, and organizational requirements

We may also use aggregated or de-identified information for organizational planning, reporting, evaluation, and similar purposes.

6. Membership Payments

YPJC uses a third-party payment processor, Stripe, to process membership payments and certain other transactions.

When you provide payment card information, your full card number and other payment credentials are processed by Stripe and are not stored on YPJC’s website.

When a payment method is maintained on file, the payment processor stores the payment credentials. YPJC may have access to limited information about the payment method, such as the card brand, expiration information, and last four digits of the card number, to identify the payment method and administer your membership.

Stripe processes payment information according to its own terms and privacy practices.

7. Email Communications

YPJC uses Constant Contact to manage certain email communications. When you provide your email address to YPJC, your name, email address, and other relevant contact or membership information may be stored or processed through Constant Contact for the purpose of sending YPJC communications.

YPJC does not sell or rent its email list or provide member email addresses to outside organizations for their independent marketing purposes.

You may unsubscribe from promotional emails at any time using the unsubscribe link included in those messages. Unsubscribing from promotional emails does not prevent us from sending administrative or transactional communications necessary to manage your membership, payment, registration, account, or another service you have requested.

8. How We Share Information

YPJC does not sell or rent member personal information.

We do not provide member email addresses, phone numbers, or other nonpublic contact information to sponsors, businesses, partners, other members, or outside organizations for their independent marketing purposes.

We may share or permit access to personal information in limited circumstances, including:

The Chamber. YPJC operates as part of the Chamber. Authorized Chamber staff may access information as necessary to administer YPJC membership, communications, programs, events, finances, and organizational operations.

Service providers. We use third-party providers to operate our website, process payments, send communications, provide website analytics, host and protect our website, and prevent spam and fraudulent activity. These providers may process personal information as necessary to provide their services to us.

Legal and safety purposes. We may disclose information when reasonably necessary to comply with applicable law, court order, subpoena, or other legal process; protect the rights, property, or safety of YPJC, the Chamber, our members, or others; investigate fraud or security incidents; or enforce our policies.

9. Website Analytics and Cookies

Our website uses cookies and similar technologies for website functionality, security, fraud and spam prevention, and website analytics.

We use Google Analytics to better understand how visitors use our website. Google Analytics may collect information such as pages visited, interactions with the website, browser and device information, approximate location derived from IP address, and other usage information. Google Analytics may use cookies or similar technologies to distinguish visitors and provide website usage statistics.

Our website may also use cookies or similar technologies necessary for functions such as:

• Signing into a member account
• Maintaining a secure user session
• Remembering website or account preferences
• Processing forms and transactions
• Providing member-only functionality
• Preventing spam, fraudulent transactions, and automated abuse
• Maintaining website security

We do not use this information to sell personal information to third parties.

You may be able to control or delete cookies through your browser settings. Disabling certain cookies may affect website functionality.

10. Spam, Fraud, and Security Protection

We use third-party security and anti-spam services to protect our website, members, and transactions.

Google reCAPTCHA may be used to help distinguish legitimate users from automated or abusive activity.

We also use CleanTalk to help detect and prevent spam, fraudulent submissions, automated registrations, and other abusive activity. When you submit information through certain forms or interact with protected portions of the website, information such as your IP address, email address, browser or device information, form submission information, and certain technical or interaction data may be processed for security, fraud-prevention, and anti-spam purposes.

Our website is also protected through website security and firewall services, including Cloudflare, which may process technical information such as IP addresses and request information as necessary to detect and prevent malicious traffic and maintain website security.

These services are used to protect the website and its users, not to sell member information for advertising purposes.

11. Data Security

YPJC takes reasonable administrative, technical, and organizational measures designed to protect personal information from unauthorized access, loss, misuse, alteration, or disclosure.

Our website uses security measures including web application firewall protection and anti-spam and fraud-prevention services. Access to nonpublic membership information is limited to authorized individuals and service providers with a legitimate need for access.

Full payment card information is processed through our third-party payment processor rather than stored directly by YPJC.

However, no website, electronic transmission, or data-storage system can be guaranteed to be completely secure.

If YPJC becomes aware of a data-security incident involving personal information, we will investigate and respond in accordance with applicable law.

12. Data Retention

We retain personal information for as long as reasonably necessary to administer memberships, provide programs and services, maintain organizational and financial records, comply with legal and accounting obligations, resolve disputes, maintain appropriate historical records, and fulfill the purposes described in this Privacy Policy.

Information associated with a former member may therefore be retained after a membership ends when there is a legitimate organizational, financial, security, or legal reason to retain it.

Information that is no longer reasonably necessary may be deleted or de-identified.

Third-party service providers may maintain information according to their own applicable retention policies.

13. Your Information and Choices

You may contact YPJC to:

• Review or update information associated with your membership
• Correct inaccurate personal information
• Request deletion of certain personal information, when appropriate
• Change your communication preferences
• Unsubscribe from promotional emails
• Ask questions about how your information is collected, used, or shared

Members may also be able to review or update certain information directly through their online account.

Some information may need to be retained for legitimate organizational, transactional, financial, security, recordkeeping, or legal purposes even after a deletion request.

14. Children’s Privacy

YPJC membership is intended for adults ages 21 through 40. Our website and membership portal are not directed to children under 13, and we do not knowingly collect personal information online from children under 13.

Some YPJC events may be family-friendly and attended by children. Attendance by children at an in-person event does not mean our website or membership services are directed to children.

If we learn that we have collected personal information online from a child under 13 without appropriate authorization, we will take reasonable steps to delete it.

15. Event Photography and Media

YPJC events may be photographed or recorded. Photos and video from events may be used in YPJC or Chamber communications, websites, social media, promotional materials, reports, or other publications.

Additional notices or terms regarding photography and media may be provided during registration for individual events.

16. Third-Party Services and Links

Our website uses or interacts with third-party services to provide website hosting and security, payment processing, email communications, website analytics, spam prevention, and other functions.

Those providers may process information according to their applicable privacy practices and agreements with YPJC or the Chamber.

Our website may also contain links to websites operated by community organizations, sponsors, social media services, event platforms, and other third parties. YPJC does not control the privacy practices of websites or services you visit after leaving our website.

17. Tennessee Privacy

YPJC is based in Tennessee and operates as a nonprofit organization. Nonprofit organizations are currently exempt from the Tennessee Information Protection Act.

Other Tennessee and federal laws may apply to particular information, communications, transactions, or security incidents. YPJC will handle personal information and respond to data-security incidents in accordance with applicable law.

Nothing in this Privacy Policy is intended to limit any rights available to an individual under applicable law.

18. Visitors From Other States

YPJC primarily serves individuals who live, work, or play in the Johnson City, Tennessee area. However, our website may be accessed by individuals located in other states or jurisdictions.

Where an applicable law provides privacy rights that apply to YPJC and a particular individual, YPJC will comply with those requirements.

19. Changes to This Privacy Policy

We may update this Privacy Policy periodically to reflect changes to our website, membership services, technology, organizational practices, or legal requirements.
